SCPPHC Board Meeting
Minutes
April 3,2007

All Board members in attendance; Tammy Rimes, Bonnie
Gallegos, Cathy Yaskivich, Debbie Dutton, Kathryn Grossman, Tracy McGraw &
Merlene Sutalo.
Meeting was brought to order by Tammy.
Minutes were accepted as written with the addition of
“action” items: Debbie Dutton to buy raffle tickets for the drawing and
Tammy is to write a response letter to Nicole Pichel.
Treasurer’s Report - $9419.58. Debbie
supplied a
year-end report (attached). Debbie will also do a financial report for each
show and we will post these reports as well as the one supplied today, on
the web-site. Debbie also had some concerns regarding “open” checks and
that Debbie Pye has been receiving for show entries as well as to reserve
stalls for upcoming shows in Aug. and Oct. All agreed that we should
accept “open” checks while at the show, but checks coming in with entry
forms need to be filled-in. (Stall reservations – see below).
OLD BUSINESS;
April show – Minor details completed regarding the
judge. Carolyn is leaving on Sunday so won’t need a hotel room Sunday
night. Tammy asked that she not bring the information booth. Instead we
decided to use a table with pop-up as well as another table that Debbie
will bring. Tammy will call Debbie Pye on Friday regarding the show
program, entries and banquet tickets sold. Tammy will also call Merlene to
give her a count on the banquet tickets and Merlene will report the number
to the caterer. Kathryn showed the Board the Show Official badges that she
has prepared. Kathryn said the ribbons have arrived and the trophies are
coming. Cathy said the annual awards are ready and that arrangements are
being made to have them delivered.
Barns – We are changing the stall reservation system.
We will honor “holding” stall areas for those having occupied certain
stalls for 3 or more years. If a call comes in requesting stalls being
held on this “honor” system, the barn manager is to call the ranch/group
usually using the stalls to verify they will be coming before reissuing
them. In other words, requests will be considered but not guaranteed.
Tammy is to call Carole Hackett regarding this new ruling and we will be
returning her checks sent in to reserve stalls for the Aug. and Oct.
shows. We also decided to charge $30 per stall/tack room for early
arrivals. Cathy will call anyone having notified her of early arrival of
the fees.
NEW BUSINESS;
Parade – Cathy said there were some insurance
violations at the San Juan Capistrano Parade. We agreed to supply
insurance for 6 horses or less($100 fee) and they had 8. Also there were
some non-members riding in the SCPPHC group. This could have made the
insurance void had there been any form of accident or injury. Another fee
we hadn’t expected was for additional insured for the San Juan Capistrano
Fiesta Group. Tammy will ask Danell Adams for a parade plan and make sure
in the future all are members and that there are no more than 6 riders.
She also will need to find out in advance if “additional insured” will be
required. Tammy will also need to make sure the Club banners are brought
to the show by Danell. We received a letter from Robin Davis asking us to
write a letter of support which will accompany their Rose Parade
Application. In reviewing the narrative, we changed "stepping” to “naturally
gaited”. Tammy will write the letter of support.
NAPHA – Debbie said the NAPHA was basically a
positive meeting and more will be done in the future to attract all
interests, not just the show people. Membership is down and 80% of horse
owners are not members so more will be done to encourage memberships. The
“Joy of Riding” program is being offered again. Lack of communication
seems to be their major weakness.
The next meeting will be on May 8th.
