SCPPHC Board Meeting Minutes

 

                                          January 8, 2008

                                          Mexican Chiquita,Temecula,Ca.

                                          6:30pm

 

 

All Board members were in attendance; Debbie Dutton, Merlene Sutalo, Cathy Yaskivich, Janniece MacDonald, Kathryn Grossman, Carole Hackett & Patty White.

 

Meeting was brought to order by Debbie

 

Minutes were accepted as written.

 

Treasurer’s Report: $23,063.90 per Debbie, who also supplied 2006 and 2007 Year-end Financial Reports (attached). The reports were discussed and compared. Figuerolas still owe their October show bill. Debbie has been e-mailing them regarding this. Carole will phone Antonio. If not paid by the next meeting, we will report this to NAPHA. We received a refund from the Sheraton for rooms cancelled. Debbie will show Janniece how to prepare the taxes.

 

Old Business;

Congratulations to the Rose Parade participants.

 

October Show – The replaced and missing awards will be in on Friday and there are still some errors on the ribbons. For 2008 we will make sure all the neck ribbons are labeled the show name, year and class. The award for the D Ranch will be sent in right away for repair. The USDA is requesting payment for drug fees collected for the Pacific Coast Show. Cathy will discuss the double show and drug fees issue with them to find out if we need to be collecting double fees.

 

Web-site – Debbie Pye would like some photos for the web-site. We also decided to post the newsletter and club brochure. All the show sponsors will get a link on the site. We will post the election results in the Minutes section of the web-site.

 

Carole suggested we raffle/have a drawing for a horse and perhaps work with Fiesta/Joanne Asman. Some of the funds would go to Fiesta. We will look into this but time is short so would need to find a horse and make a decision next meeting.

 

Judges – Hugh Richardson will judge the Spring show. Cathy will send a contract out and e-mail another contract to Risso for the Pacific Coast. For the double show in October, we decided to try to get Juan Rizzo Patron and Eugene Pepe. Back-up is Doug LaSota.

 

Trail Ride – Cathy has contacted the insurance company and all riders need to be current members. If not we will need to pay an additional $170 as this will be considered an additional event plus all non-members will need to sign a release form. We decided to pay the additional $170, have everyone sign a release, and encourage renewals and new memberships. Cathy will contact Markel and order the certificate of insurance. Kathryn will lead the trail ride and Patty will drag.

 

Equine Affaire – Debbie is working on an ad in the Horsetrader.There wasn’t enough time to change the photos from the ad place last year. She will make additional copies of the ad to hand out. A decision was made to wear whites in the booth with a blazer if needed. Kathryn has started working on the schedule.

 

Parades - Patty will be the parade coordinator for Norco. Cathy reminded all on the insurance regulations. The Laguna Beach Parade will be $125 plus $50 per horse over 6. Danell plans on 9 riders. This was approved.

 

New Business:

New Memberships Renewals - Debbie will send out membership packets which will include a welcome letter, membership card, decal, sponsorship form and handbook.

 

Awards for 2008 – Kathryn is looking into and deciding on the show award for 2008. We discussed various types.

 

Banquet – Cathy will do the points. Tammy will handle the banquet, be Master of Ceremony and hand out the service awards. Merlene will contact the caterer and we may charge a little more for better quality. Tammy plans to have the Jeopardy game. In the past the Board gave the President a gift and we decided to renew this policy. Kathryn will pick up the gift. Cathy and Debbie will work on upgrading the year-end awards. Merlene has some nice awards and will show us some of these for reference.

 

Newsletter – We decided to have a Club Historian that will write articles on people and horses, etc. for the newsletter. Margaret Turk has volunteered and all agreed to give her this position. Kathryn reminded us that the newsletter is getting lengthy so we agreed to put the forms in the first newsletter of the year and thereafter members can print them off the web-site.

 

April Show – We made a few changes to the class list. Merlene will sponsor the Breeder’s Cup and each show will have a different design. Cathy will check for potential laureados. Debbie will check with Jody Childs regarding the High Point Novice sponsorship. The sponsorships will be handled by Janniece and Carole will help. Carole suggested we send a “thank you” note along with the sponsor form after confirming sponsorships by phone. This was approved. Hotels were discussed and the decision was made to remain at the Sheraton.

 

NAPHA  – NAPHA wants to reinstate the Vivienne Lundquist Memorial Trophy at the Nationals and we agreed to sponsor or co-sponsor the award. They also asked us to sponsor the “ welcome night “ at the Nationals. Debbie will get more information regarding this. The annual meeting will be March 21st & 22nd, 2008 in Las Vegas, Nv.

 

Rosie Heffley is not doing well and Carole Hackett will send a plant/flowers for the Club.

 

Janniece will be our “Publicity” person.

 

Pacific Coast Show – Patrick Cronn will get a free stall for Latino who is laureado.
