SCPPHC Board Meeting Minutes

6 Board members in attendance; Debbie Dutton, Merlene Sutalo, Cathy Yaskivich, Janniece MacDonald, Carole Hackett & Kathryn Grossman. Missing was Patty White. Also in attendance was Danell Adams.

 

Meeting was called to order by Debbie.

 

Minutes were accepted as written.

 

Treasurer’s Report - $24,262.95. The year-end report will be provided next month.

 

Old Business;

Parade - $2320.95 left over from the parade fund. Insurance costs were $930 which the Club will absorb. Balance will be split 13-ways to help the participants with their costs ( riders spent about $1000 each ). We discussed the 2011 parade and would like to do it again if possible.

 

Equine Affaire -  Debbie paid the fee and will get ½ back from Los Amigos. We will have a demo but probably no horse on display. Kathryn will handle the schedule of workers and supply a saddle and bridle for the display. Carole will supply a TV.

 

RAC Meeting – Cathy said the meeting was basically a discussion of NAPHA issues and problems. Nothing pertained to the Clubs.

 

The Club received an e-mail requesting clubs donate money to Arlynda Castro. This was discussed and no decision was made at this time. Need more info.

 

Banquet – Margaret Turk will M/C  the awards portion of the banquet, Janniece will co-ordinate the raffle items. Ticket will be sold at $1 each or 12 for $10. Cathy will call Annette kart and Debbie will contact Lee Locke to invite them to the banquet as guests.

 

Show Report – A correction of logo items figure to $683 instead of $220.

 

New Business;

April Show – Hotel reservations have been made at the Mariott, which are $119 per room, a $20 discount.

 

June Show – Carolyn cannot announce so Cathy will contact Connie for availability.

 

Club Banners – Need to order 3 or 4 new banners. Debbie will contact Charlotte Dicke.

 

Show Awards – Cathy will contact G & W Awards to see if they have anything in our price range for show award.  If so,  Cathy, Debbie & Kathryn will go see what they have. Kathryn will order logo pins.

 

Amateur Year End Awards -  Cathy suggested we change the year-end award system. It was discussed and we agreed to change the award from High Point Amateur Horse to 3 awards - Amateur Mare, Stallion and Gelding. Also the points will only be counted for non-restrictive Amateur classes.

 

Hacienda Sosegado Playday/Clinic – March 13th & 14th with raindates March 20th & 21st, 2010.

 

NAPHA – The meeting has been changed to March.

 

Newsletter – Janniece will be preparing the newsletter in 2010. Perhaps we will start sending the newsletter by  e-mail as well.

 

Shows – Carole does the barns and said she could do hospitality as well.

 

Sponsorships – Janniece will handle.

 

Feb. Board Meeting – Will change to Monday, Feb. 1st because of Equine Affaire.

Feb. 1, 2010

5 Board members in attendance; Debbie Dutton, Merlene Sutalo, Cathy Yaskivich, Kathryn Grossman and Carole Hackett. Missing were Janniece MacDonald and Patty White.

 

Meeting was called to order by Debbie.

 

Minutes were accepted as written.

Treasurer’s Report - $20,058.72. Year-end report was provided ( attached). Profit for the year was about $5000.00.

 

Old Business;

Parade - $175 will be reimbursed to each person in the Rose Parade from the parade fund. The group plans to go to the Laguna parade on March 6th, San Juan Capistrano parade on March 20th and Norco Parade in April. We discussed a letter from Danell Adams with a suggestion for the Club to allow others from around the country to ride with us in the Rose Parade. All agreed not to do this right now.

 

RAC – Debbie said the meeting pertained to NAPHA.

 

Awards Banquet – All positive feedback so will try to have it there again in 2011.

 

Banners – We ordered new banners through Charlotte Dicke but they won’t be ready for Equine Affaire so will use one of the older ones.

 

2010 Awards – Will see if G & W Awards are interested in making our show awards this year and if their prices are in our range.

 

Amateur Year End Awards – Announced at banquet and everyone seemed happy with the changes.

 

Clinic/Playday – March 20th & 21st with Nola Giddings.

 

NAPHA – The annual meeting has been changed to march 12th & 13th.

 

April Show – Hotel booked at Sheraton who reduced prices by $20 ($119 per night). Fairplex will not allow shavings to be used for bedding, only straw. Need to find out the extra cost for bedding removal if shavings are used. An EMT is now required so an added cost for this. Linda Virgin will be in Ca. so will be Ring Steward for Nick.

 

New Business;

Merlene requested that her Laureado party at the Pacific Coast Show be held on Saturday. Bonnie Gallegos will have hers on Friday. This was approved.

March 3, 2010

Treasurer’s Report - $17,903.11. A $1600.00 deposit has been made to Fairplex as well as deposits to Seaside Park and LAEC. No outstanding bills.

 

Old Business;

Parades – Have entered the Laguna Beach Parade on March 6th, San Juan Capistrano Parade on March 20th and Norco on April 17th. Georgia said she will host lunch at her restaurant after the San Juan Capistrano parade.  Some of the members of the parade group will also participate at Farm Walk at Pierce College in Woodland Hills on April 25th and we also will have a booth at this event.

 

Equine Affaire – This went well and we now have new banners, a new tv and rubber squares for flooring. Will try to get the same booth next year and have a horse.

 

April Show – The premium is out although Staples put some of the pages upside down. Will try to get a credit due to this error. There is a NAPHA problem on our amateur & open pleasure and our cross qualifying. Needs to be changed on all shows. Patty will do hospitality.

 

Ventura Show – Cathy has confirmed Connie as announcer.

 

Show Awards -  Kathryn suggested we order plaques for 1st. Will try to get medallions on ribbons or wine glasses, trophies for  championships and plaques for high points. For juniors – high pt., a blanket and res., a pillow. We hope G & W will give us a good deal. We also discussed ordering Club pins, pens (check with Georgia) and Janniece will check with Mollie’s on scarf slides.

 

Clinic/Playday – Janniece will do gates, Patty will help and Kathryn will bring a horse. Joy will handle the food and we will help.

 

NAPHA – Joy Gould has resigned as NAPHA President.

 

New Business;

Tyler Murray – Just discovered that she has stage 4 cancer. We agreed to send a check for $50 right now with an “encouragement” card and follow up later with another $50 check and card. Carole will send this out to Danell.

 

Newsletter – Kathryn will write an article on Equine Affaire. Janniece is now on the finance committee for NAPHA and said the IRS said we cannot use the word “ad” in any of our publications. We must use the word “donation” or “sponsorship”. Janniece hopes to get the newsletter out late next week.

 

Sponsorships – Janniece is working on.

 

Logo items – Susan Grossman has volunteered to handle the logo item booth at the shows this year. Patty’s sister does embroidery work – Patty will check on prices and bring samples to the next meeting. She doesn’t have the $500 minimum.

 

Trail Ride – July 19th in Norco and Patty will handle. Pot luck and general meeting.

April 7, 2010

Treasuer’s Report; $20,892.23

 

Old Business;

Parades – Cathy reported that we participated in the San Juan Capistrano Parade, which was quite eventful, but had to cancel the Laguna Beach Patriots Day Parade due to weather. The insurance will be transferred to the Norco Parade. There are two new people that have joined the parade group which are  working out well. Kathryn is handling the entry for the Norco Parade and wanted to know what division to enter. Needs to contact Danell and Debbie regarding this.

 

April Show – Everything is about done. Kathryn is missing on 1stplace ribbon and award. A cancelled class  should take care of this. Kathryn has ordered Club pins and pens which should be here soon. We will sell these for $5 each. She also had a sample of an award medal with ribbon from G & W. We will decide later when we know the price. Also wew samples of tote bags and an engraved box from Showtime.

 

Clinic/Playday – This went well. There were a lot of participants with 18-20 per class.

 

Newsletter – Janniece sent out by e-mail as well as regular mail. Some of the e-mail addresses were not good. We need ideas and articles for the newsletter. Decided to have articles on some of the “senior” horses.  Merlene will start wil an article on Favorito followed by one on Azalea. Kathryn will write an article on an ACTHA ride she was on.

 

New Business;

Fiesta – Fiesta of the Spanish Horse requested approval of their show. All approved the show for points.

 

Insurance – Cathy said we are having a lot of problems with Markel Insurance which has become badly run. Prices are inconsistent, billings inaccurate, told different things regarding policies, their refusal to supply breakdowns on charges, etc. She is checking on rates from local companies. The issue was discussed and Janniece suggested an article on “where your money goes” in the newsletter and the cost of insurance.

May 3, 2010

Treasurer’s Report - $22,353.04. Just received our final bill from Fairplex for approximately $4000 which will be paid this week.

 

Old Business;

Parade – Cathy said the demos at Pierce College went very well and everyone had a lot of fun. We received a 1st in our division at the Norco Parade. Kathryn said the practice for the Extravaganza went well last week.

 

April Show – We reviewed the Income/Expenses statement and noted the added expense of an EMT plus the straw cost was more than shavings. We lost about $400. We read a “thank you” note from Nick as well as an article regarding the show in the newspaper.

 

June Show – Everything about done. Cathy will order the Laureado awards from G & W Awards. Bonnie and Pat will not be at the show to accept their Laureado awards or give a party. Merlene & Frank will give their Laureado party on Saturday. Kathryn has ordered special awards for the 3 memorial awards. We will change and have special awards in 2011 for these memorial awards rather than the photo of the winner in a picture frame.

 

National Award – Kathryn has ordered the Vivienne Lundquist Award for the Nationals. A vest has been sent to Nick as a gift for judging the April show.

 

Trail Ride – July 10th in Norco. Patty is handling.

 

NAPHA – There is a new Board and the National show will be held in Burbank in October.

 

Newsletter – Janniece has a lot of information and it will be out the end of May.

 

Insurance – Cathy is checking into other insurance companies.

 

Logo  items – Patty brought samples of her sister’s work. She is in Riverside and doesn’t require a minimum order. We need a set-up figure and actual prices for items.

 

New Business;

Sponsorships – Janniece is having a harder time getting sponors for our classes. This is probably because there are now more shows and the economy is not good. Carole suggested we change the fees and it was decided to charge 1 for $35 or 2 for $55. Cathy suggested we give out a Club pin with each membership. It was decided to give pens instead when they arrive.

 

Directory – This will be out soon.

 

Los Amigos – They would like show approval but we haven’t received a written request yet.

 

Gold Rush -  They would like approval but we haven’t received a written request yet. Tentative approval as long as we receive the written request by May 10th.

 

Fiesta/Extravaganza – Cathy requested the Club assist the parade group in paying some of the expenses as the group represents the Club. We agreed to pay 1 night per horse and tack rooms for 1 day – a total of $290.

 

Judges 2011 – Discussed judges. Perhaps Chris Austin, a student judge right now, for April, Hudwalker or Lucho Dapelo for Ventura, and Mariano Cabrera and Lorenzo Crolle for Burbank.

 

June Board Meeting – Changed to June 9, 2010.

 

Jody Childs – Need to check that she paid her 2009 Gold Rush bill. If not, we shouldn’t have allowed her to show at the April show.

Treasuruer’s Report -  $23,788.95. Bill still needs to be paid to Seaside Park.

 

Old Business;

Fiesta – Cathy gave a report on the Club parade group performing at the Extravaganza at Fiesta of the Spanish Horse.

 

Ventura Show – Went well in spite of not having many horses. Happy with the judge and the Laureado party was wonderful. The judge waived his fee and we will send a special “thank you” letter to him. Also, Carole would like to write a special letter to the “maintenance” dept. at Seaside Park for their outstanding work. This was approved. There was an article about the show in the newspaper and Merlene has a copy which she will get to Debbie. Kathryn said there were 2 plaques missing from the order which she will check on.

 

Show Awards – Decided on medallions for the Burbank show although we need a price from G & W.  Different awards will be given for the Fall Classic & Grand shows.

 

Trail Ride – July 10th and the flyers are out. Patty said the parking is now $5 per rig.

 

NAPHA – The Nationals will be held at Burbank on Sept. 17th-19th. A “California Clubs’ Party” will be held on Sept. 17th at Annette Kart’s and each Ca. club participating is to pay $250 towards the party. Richard Ubillus will supply food at cost. Debbie gave a RAC meeting report. Good people and all looks encouraging with lots of good ideas.

 

Newsletter – Has been mailed and sent by e-mail. Looks great.

 

Insurance – Insurance renewals is Sept. 12th so no actual quotes until closer to the renewal date.

 

Logo Items – We spent about $2000 on logo items which sold well. May place a small order next meeting.

 

Jody Childs – Paid her bill to Gold Rush so is clear to show.

 

Judges –  Judges were discussed for the Burbank show and it was decided to use Roland Garcia as one. Debbie is to contact Hudwalker for the second. Chris Austin for the Spring Show if he passes his test at the Nationals.

 

New Business;

Parade – Anne Ryan requested the use of our red ponchos for the Coronado 4th of July Parade. All agreed that the red ponchos currently represent the Rose Parade Group and should be for that purpose at this time. However, she can use any of the poncho sets donated by Marna Pearson.

 

Reining Series – Los Amigos, Central Coast and Gold Rush are participating in a reining series with a year-end high point. We have been asked to participate and it was approved. Will be added to the Burbank show premium and we will have an article on the series in the newsletter.

 

Spring/Pacific Coast  Shows – It has been suggested that we have the Spring & Pacific Coast Shows as one double show. Facilities discussed were Pomona and the new Silverlakes in Norco to be opened in 2012. Debbie will check with Pomona. She also will check with Seaside Park regarding issues and the possible sale of the facilities.

July 7, 2010

Treasurer’s Report - $16,629.14 with all bills paid.

 

Old Business;

Show Report – Next month but basically appears we broke even.

 

Parade Group -  Cathy reported that the group participated in the Coronado Parade which was a replacement parade for the Laguna Beach which was cancelled in March due to bad weather.

 

Ventura Show 2011 – Seaside Park is not closing and we reserved the dates June 4th & 5th, 2011 with Hudwalker as judge.

 

Show Awards – Will order medallions for awards for the Grand Ch. Show and will have a different awards for the Fall Classic. We have one blanket for Junior High Point.

 

Trail Ride – Patty has the ride set-up and all will need to sign releases.

 

NAPHA – The Nationals in Burbank will be Sept. 17th-19th. We agreed to contribute $250 towards the California Club Party to be held at Annette Kart’s on the 17th. We also will be in charge of the silent auction. Cathy and Janniece will work on this.

 

Newsletter – Deadline is Aug. 15th for the next publication. We also will post the election meeting date of November 20th and the meeting will be held at Joey Espinoza’s in Sun City. Need to post the 2011 confirmed judges as well.

 

Insurance – We have a quote from one company and will check with another.

 

Logo Items – Low on caps. Patty will check with her sister and order 2 doz. denim caps.

 

Judges – Rolando Garcia is confirmed as the second judge for the 2011 double show in Burbank. Mariano Cabrera is confirmed as well. We need to check with Chris Austin on his availability for the Spring Show should he pass his test. He is a CPA and the tax season could be an issue.

 

Reining Series – We have been requested to participate in a Reining Series. We need to check into various details especially into how much time the class takes.

 

New Business;

Merlene said she discussed judging contracts with Janetta Michaels. We agreed to make some changes and be more restrictive on certain things. However, it may be difficult to enforce especially with the Peruvian judges.

 

Carole said there is a new rule that the Show Steward is now responsible for checking all stalls for horse safety. We will check into this.

August 18, 2010

Treasurer’s Report - $15,154.56. All bills paid.

 

Old Business;

Parade – Danell said we should plan on participating in the Laguna Niguel Parade in December as a practice before the Rose Parade. She also suggested we get our own insurance for the Rose Parade. The Rose Parade needs $650 for insurance as well and it was approved to pay for this. We will need to collect items for a silent auction to be held at the double show to help pay for flowers, Equestfest insurance, etc. Danell will make a poster to put up at the Nationals to gather items towards this silent auction.

 

Show Report – Supplied and reviewed. Made a small profit.

 

Ventura 2011 – Dates are June 4th & 5th and the judge is confirmed.

 

Show Awards – We ordered medallions at $5 each which will be for the Grand Show. Kathryn will order something different for the Fall Classic. Kathryn has one blanket left which can be used at the banquet and Carole has 4 others. Kathryn will also order Club pens which we will give out at the banquet.

 

Trail Ride – This went very well and there was good participation at the meeting as well.

 

NAPHA – The Nationals are Sept. 17th-19th and the California Clubs’ Party (SCPPHC, Los Amigos, Mission Trails & Central Coast) will be the 17th at Annette Kart’s.  Each club as donated $250 towards the party. Cathy’s phone number is listed in the premium and Joy Redman is handling the stallion service donations.

 

Insurance – Discussed and decided to insure with Morningstar Insurance.

 

Logo Items – Debbie will check on an order with Patty.

 

Judges – Chris Austin will probably be available to judge the Spring Show which will be April 9th & 10th, 2011 in Pomona.

 

Election Meeting -  Joey would like to have an open house with entertainment. We approved $250 towards the charges.

 

Double Show premium – Need to add the Reining Series to the schedule plus there are 2 Laureados. Cathy will verify the vet.

 

New Business;

Double Show – Lionel Peralta is not charging the judging fee and we have paid for his airline ticket ($500). Roque Benevides is arriving Friday, Nov. 5th at 6am so we agreed to delay the starting time of the show to 9:30am.

 

NAPHA -  Sent $100 for a sponsorship and $250 towards the party.

 

NAPHA Show Approval – Danell requested we approve the National for SCPPHC points and that we would need to do this without NAPHA actually requesting the approval. After much discussion, all decided not to approve the show as it could not be posted in the premium and in general the normal policy for approval was not being followed.

 

Showing with andalusians – We had a question on if we would be interested in showing with andalusians at Del Mar or LAEC. Would be interested in Del Mar.

 

Carolyn Mittrick – Available to announce all the shows in 2011.

 

Sept. meeting – Either the 1st or 8th depending on Janniece’s schedule.

Treasurer’s Report - $14,482.56

 

Old Business;

Parade – May do Laguna Niguel Parade in December. Need help for the silent auction at the show.

 

Show Awards – Medallions have been ordered for the Grand Show from G & W Awards at $5.00 each. Kathryn is ordering very nice awards for the Res. And Championship classes. Pens will also be ordered and given out at the banquet.

 

NAPHA – The California Club Party will be On Friday, the 17th at Annette Kart’s. Patty is helping Annette and most of the preparation and arrangements have been done. We need to get more items for the Silent Auction.

 

Newsletter – Patty needs to write an article on the trail ride. Also need an article on the Reining Series and Kathryn will write one on her trip to Canada.

 

Insurance – Have signed up with a new company which will save us money.

 

Logo Items -  Need to order 24 denim caps.

 

Judges – Chris Austin confirmed for the Spring Show April 9 & 10, 2011.

 

Election Meeting – At Rancho Espinoza on Nov. 20th. We will pay $250 towards his open house party.

 

Fall Show Premium – With Roque Benevidez arriving on Friday morning, we decided to start at the normal time and have Peralta judge Halter for both shows. John MacDonald will pick up Benevidez at LAX.

 

Del Mar Andalusian Show 2011- This is June 11th & 12th, 2011 so will not work for us next year.

 

Equine Affaire – Debbie checking with Joline.

 

New Business;

Special Trophy/Award – Marna Pearson and Howard Tuttle would like to give a special trophy each year to the winner of the Gelding Gait Class at the Grand Championship Show. This would be in memory of Califa MSR and read: Califa MSR Memorial Trophy, “Never to be Forgotten”, Best Gaited Gelding, SCPPHC Grand Championship Show, Presented by Land’s End Ranch & Salinas Training Center. Their fee would be $100. This was approved.

 

Nominations – These are going out in about a week.

Treasurer’s Report - $10,251.50

 

Old Business:

Parade – Need items for the silent auction. The Club will donate some logo items and carole has a bridle bag to donate.

 

Newsletter – Janniece is getting a new computer so hopefully will be able to get a newsletter out soon. Patty is working on her article on the trail ride.

 

Burbank show – Patty said Annette would like $100 for the tri-tip and Patty need $200 for other food , paper plates, utensils,etc. This was approved. Patty will prepare Italian dishes and Annette will provide her sangria. Carole will call Richard Ubillus regarding shrimp on a skewer for 75-80 people. For the championship classes, we are ordering silver awards for the Fall and crystal for the Grand. Kathryn will send photos of items she finds to Merlene for approval. Annette supplied a sample show notice and aficionado membership forms which she would like to hand out at a few Peruvian functions. These were approved and we approved $100 to pay for the printing. Annette also has 5 celebrities available to ride a lap around the arena perhaps on Sunday right after the lunch break. Pat Cronn would like his Pacific Coast Laureado presented as well as the Medal of Distinction from the Grand. We need to decide when to close the silent auction – probably sometime after lunch on Sunday.

 

Equine Affaire – Los Amigos does not want to participate but would like to give us $200 to put up their banner. Participating at Equine Affaire was discussed and Cathy will check with Joanne Asman on rejoining with Fiesta.

 

New Business:

Sire & Dam Forms – These need to be changed to state these awards are only for “living” horses. The Sire and Dam program also need to be put into the Membership Handbook. Cathy will start revising the Handbook which we would like done by early 2011.

Postage on Nomination Forms – Cathy said we had a request to send postage paid self-addressed with the nomination forms to increase participation. All agreed not to do this.

Banquet program – It was suggested we have a year-end program to be handed out at the banquet. We would sell full and half-pages where owners could have photos, etc. of their horses listing SCPPHC winnings or awards received. More details to be worked out but profits are for the Rose Parade Group.

SCPPHC Board Meeting Minutes

November 2, 2010

5 Board members in attendance; Debbie Dutton, Merlene Sutalo, Cathy Yaskivich, Kathryn Grossman, & Carole Hackett. Missing were Janniece MacDonald and Patty White.

Meeting was called to order by Debbie.

Treasurer’s Report - $19,581.05 which includes a deposit made for the upcoming show.

Old Business:

Parades – Laguna Niguel Parade scheduled for Dec. 11th. Also planned is a short demo. to be performed at the show.

Burbank show – Janniece will not be able to come down for the show so John will handle the gates. With Roque Benevides scheduled to arrive late, Patty will handle the gates until John arrives with the judge. Kelly Powers may student judge. Merlene said she had some objections to Kelly being in the ring. If any complaints come in regarding this, they are to be referred to Debbie or Lynn Kinskey. Patty said the party at Annette’s is under control.

Equine Affaire – Cathy hasn’t been able to get the actual cost figure from Joanne yet. Joanne said she was coming to the show and she will give us a figure. If it reasonable, we will confirm our sharing the booth with Fiesta of the Spanish Horse.

Member Handbook – Cathy is working on the handbook which will be republished early next year.

Banquet – We reviewed a proposal for a program “ 2010 SCPPHC Gallery of Champions”. The horse must be a SCPPHC winner but can list all winnings. All agreed it is a good idea and we will promote it and sell ads at the show.

New Business:

Misc. suggestions – Cathy had a few suggestions from member which were discussed;

  • Postage on ballots – Decided against
  • 2 signatures on checks – Tabled to be discussed again when new Board is installed
  • By-Laws on web-site – Debbie Pye is in the process of retyping the By-Laws to a format that can be attached to the web-site
  • Audit on books – We discussed having a  “review” rather than an actual audit by a CPA due to the high cost of an actual audit. Perhaps Jo and Jim Dykema can go over the books with Debbie. A decision will be made next month with the new Board also in attendance.
