Board Duties

President:
  •   Serve as the chief executive officer of, and supervise and control the affairs of the corporation.
  •   Set the agenda and preside at all meetings of the members and the Board of Directors.
  •   Appoint members to any committees which may be created by action of the Board of Directors or by the membership.
  •   In the name of the corporation, shall execute such deeds, mortgages, bonds, contracts, checks, or other instruments which may from time to time be authorized by the Board of Directors.
  •   Serve as an ex-officio member on all standing committees of the corporation.
  •   Serve as the liaison between other clubs and the national breed organization.
 
Vice-President:
  •   In the absence of the President, shall perform all duties of the President.
 
Secretary:
  •   Certify and keep the original or a copy of the By-Laws, as amended or otherwise altered to date.
  •   Keep a book of minutes of all meetings of the Directors and members.  Be responsible for taking care of recording the minutes at all Board and Membership Meetings.
  •   See all notices are duly given in accordance with the provision of the By-Laws.
  •   Be custodian of the records and the seal of the corporation and see that the seal is affixed to all duly executed documents.
  •   Keep an updated membership list containing the name, address, phone and email of all members.  Be responsible for the production of the annual Membership Directory.
  •   Respond to any records requests by Board Members or the Membership.
  •   Be responsible for insurance requirements of the Club and coordination for events and shows.
  •   Be responsible for Club correspondence (i.e. new membership letters).
  •   Obtain show approvals from the North American Peruvian Horse Association.
 
Treasurer:
  •   Have charge and custody of, and be responsible for, all funds and securities of the corporation, deposit all funds and report on those funds at Board and membership meetings.
  •   Receive and give receipt for monies due and payable to the corporation.
  •   Disburse the funds of the corporation as directed by the Board of Directors.
  •   Keep and maintain adequate accounts of the Corportion's business transactions.
  •   Prepare an annual report to members and file all necessary paperwork for annual tax preparation.
 
Directors (3):
  •   Special assignments as determined throughout the year.
  •   Attend all Board meetings and assist in the planning and organization of Club events and activities.
 
Other Club Duties:
  •   Newsletter - published quarterly
  •   Website updates
  •   Compilation of Points for Year-End and Special Awards
  •   Ordering Show Awards and Ribbons
  •   Parade Coordination
  •   Promotional Materials and Show Booth
