Show Manager:

Make arrangements for
the show facility, show committee, hotel, transportation for show
officials and judge contract and accommodations.

With input from the
other show committee members, make the decisions and delegate
assignments to ensure a smooth show program and maximum enjoyment for
the members.

Work with the show
secretary on the final show awards and make presentations for these
awards, as well as the Judge's gift.
-
Set up the club banner
and any signage to direct spectators and members to the show grounds.
-
Responsible for
contacting local newspapers/horse magazines for articles or
announcements about upcoming shows.

|
Barn Manager:
|
-
Make the stall
assignments as show registrations are made, coordinate placements of
horses and members on the show grounds prior to and during the show.
-
Arrange for shavings
deliveries.
-
Contact and make the
arrangements for the on-site or on-call veterinarian.
-
Mark the barn map and
place in several key locations at the show for easy accessibility.
-
Make decisions
regarding loading/unloading and trailer parking, if needed.

Gate Steward:
|
-
Arrive at least 30
minutes before the show. Coordinate the distribution of walkie
talkie units to the show committee. Be responsible for fresh
batteries for the units prior to each show.

Coordinate with the
judge, ring steward, and show steward during the show for a smooth
process of members/horses entering and leaving the show ring.
-
At the call of each
class, insure that all entrants are present and ready to participate in
the next class and keep the Show Announcer informed.
-
Open the gate when the
Show Announcer calls the class.
-
Attend the gate during
the class in the event any participants need to exit the arena.
Open the gate when the class is completed. Close the gate when all
entrants have exited the arena.
-
Note any "tack
changes" for the next class and keep the Show Announcer informed.
-
Make barn calls to
announce the upcoming classes, tack changes and inform members of plans
for the ring.
-
Control the opening
and closing of the gate.
-
When warranted, ensure
that proper tack, numbers, attire before the riders/horses enter the
class.

Show Steward:
|
-
Keep a set of the Show
Premium and the NAPHA show rules onsite at the show grounds.
-
Address and answer
questions regarding the rules of the show ring.
-
Review entry forms to
ensure proper show registrations/submitted forms.
-
Help make
determinations for the Show Manager and Judge regarding the rules of the
show ring and registration issues.
-
Enforce the three
minute rule and class dismissals.

Ring Steward:
|
-
Assist the judge
during the entire show while in the show ring. Call the directions
requested by the judge, coordinate the action in the ring as needed,
ensure safety of riders and horses, and ensure a fair competition among
riders.

Coordinate with the
show announcer on the class placings for each class.
-
Assist the Ribbons and
Awards person, if needed.

Show Secretary:
|
-
Create and mail the
show premium.
-
Accept all show
registrations, check for correct information and coordinate with
members.
-
During the show,
handle all registration additions, changes and deletions. Print
and distribute class sheets during the show to the Show Announcer, Gate
and Ring Stewards.

Before the
Championship classes, determine the eligibility of all entries for those
classes.
-
Determine the show
awards of High Point Amateur Rider, High Point Senior Horse, High Point
and Reserve High Point Junior Riders and any other Special Awards.
-
Make copies of all
checks for deposit and give full accounting and checks to the
Treasurer.
-
Produce a show report,
outlining the horses entered, the class placements, and financial
report.

Show Announcer:
|
-
Make announcements
throughout the show about special fundraising activities, the annual
banquet, special awards, promotional items, etc. to support the club.

Announce each class,
the directions during that class, and the final awards.
-
Coordinate with the
other show personnel to ensure a smooth running show and fair and
equitable competition.
-
Be responsible for
coordinating and providing the music.

Ribbons & Awards:
|
-
Organize all the
awards and ribbons for each day of the show and deliver them to the show
ring.
-
Present the ribbons
and awards to all winners during the show.
-
Coordinate with the
show photographer for the best shots of the horses/riders.
-
At the end of the day,
package all leftover ribbons/awards. Make arrangements to return
the items or recycle for the next show.

|
Hospitality:
|
-
Purchase all food and
drink items needed for the show. Bring needed tables and other
utensils/serving items for the hospitality table.
-
Set up and arrange for
refreshments for each morning, and possibly snacks in the afternoon, for
each day of the show.
-
Have a cooler of
drinks available for the ring show committee personnel near the judge's
locations.
-
Arrange for lunch for
the show officials, if needed.

Promotional Materials:
|
-
Set up a booth for
printed and saleable promotional items.
-
Create and maintain a
tracking sheet and inventory of all items sold during the show.
-
Coordinate with the
Treasurer on the tracking of monies collected and tracking of ordered
products.

Complete invoice for
each sale.
-
Be responsible for
ordering products and coordinating orders with customers.
-
Coordinate a rotation
schedule for those staffing the booth.
-
Regularly provide
information on new items for sale for the newsletter and/or website.

Sponsorships:
|
-
Be responsible for
selling sponsorships for the show program and class schedule before and
during the show.
-
Coordinate with the
Treasurer any monies collected for sponsorships and with the show
secretary and announcer about sponsorship announcements.
-
Coordinate with the
web site designer or newsletter editor to routinely acknowledge those
who provide sponsorships to support the club.
-
Coordinate and handle
any raffle or fundraising events at the show.
